Event and Production Equipment:
The event venue does not have all the necessary apparatus, so rentals will be required. Due to the size of the conference and the quantity of equipment required, we will need to make reservations and confirm them at least two months in advance to prevent a last-minute scramble.
Children participating or attending:
We do not expect any minors to be present at this conference. We do not completely rule out the possibility, as we could have lactating mothers and their infants. In anticipation of the presence of some lactating mothers, we will provide an additional room for them to have the privacy and comfort required to completely participate in the conference.
Transportation and traffic control:
To limit participant movement and make efficient use of time, we are situating conference attendees in the same location as the conference venue. In the event that we need to acquire additional lodging facilities. We hope to find lodging within a five-minute walking distance of the conference venue.
Staff and volunteer safety:
Ghana is very secure. With this in mind, we leave nothing to chance. We will hire the Ghana Police Service or a private security firm to serve as a plainclothes escort for the volunteers whenever they must leave the conference grounds or move about the city.
Medical assistance requirements:
We are supplying a room specifically for use as a rest or sick bay. In the event of medical emergencies, we will also have a dedicated ambulance with a full medical staff on standby to aid.
Unpredictable weather conditions:
The proposed months for travel to Ghana are auspicious travel months. Regardless, the conference facility is suitable for the conference as well as all ancillary events.
Possibility of fire hazards:
The conference facility and all accommodation facilities have passed the fire hazard inspection and have been designed to facilitate evacuation. There are also fire extinguishers with explicit instructions on how to use them.
