OB-PS Event Cancellation Policy

Personal Cancellations

To provide additional reassurance and flexibility, we are extending the refund policy until 13 April 2026, by which point the World Board will have announced any further contingency arrangements. We strongly advise participants to ensure they are appropriately insured and to either purchase refundable travel tickets or wait until the end of March before confirming travel arrangements.   


We fully recognise that this uncertainty makes planning more challenging. Our intention remains clear: to maximise every opportunity to meet in person while prioritising the safety and security of all participants, and ensuring that everyone, regardless of circumstances, retains the ability to join and actively engage in our collective governance.


If a participant cancels their registration before 31 March they will receive a refund minus a processing fee of $50. After this date, the registration fee is non-refundable.


However, the registration is transferable to another person attending the same event, at no additional cost. All cancellation or transfer requests must be made in writing via email to [email protected]. 

Alterations or Cancellations by OB-PS

In the unlikely event that OB-PS makes a major change to the event (such as a change of location or date) or cancels the event altogether, OB-PS will:
 

  • Offer participants the option to transfer their registration to an alternative OB-PS event, if available.
  • If no alternative event is available, or the participant is unable to attend, they may request a partial refund. The refund amount will be determined after deducting non-refundable costs, such as venue deposits. OB-PS will communicate the refund amount as soon as possible.


Important: OB-PS will not refund any travel, accommodation, or other external costs associated with attending the event.

 

Travel & Accommodation Responsibility


OB-PS is not responsible for participants' travel, accommodation, or other personal expenses related to attending the event. We strongly recommend that all participants purchase comprehensive travel insurance at the time of registration. This should cover event cancellations, medical emergencies, and other unexpected expenses.

Additionally, OB-PS will not provide refunds for: 

  • Unused accommodation or catering services
  • Any programme activities that a participant chooses not to attend.


Limitation of Liability


It is the responsibility of participants to ensure they have adequate insurance covering: 

  • Personal property
  • Travel disruption
  • Medical expenses
  • General liability
  • Life cover for the duration of the event and travel.
