📜 24th Arab Regional Conference – Circular 10

Dear Member Organizations,
We are pleased to share with you Circular 10, which contains important final updates regarding preparations for the 24th Arab Regional Conference, to be held in Algeria from 8 to 11 August 2025.
Please read the following details carefully and take the required actions within the given deadlines.
📌 1. Voting Procedures Guide during the Conference
🗳 Attached to this circular is the official Voting Guide, which outlines all procedures and instructions related to the voting process, including how to use voting cards and the required approval percentages.
📌 Important Note:
Voting during the Conference will take place exclusively through the Head of Delegation, who is the only person authorized to use the voting card on behalf of the Member Organization.
📅 A meeting will be held on 22 July 2025 with all delegations to simulate the voting process and explain all logistical and technical details.
🧳 2. Arrival Pack
This includes information on airport pick-up, transport, accommodation, and general arrival guidelines.
🌿 3. Recreational Activities (Outings)
Fun outings have been organized during the Conference days. We encourage you to participate by filling out the following registration form:

🧾 4. Arrival Form – Very Important
Please make sure to fill out the relevant arrival form for each participant no later than 3 days after receiving this circular to facilitate airport pick-up and transfer.

📌 Note:
Participants attending both the Forum and the Conference should only complete the Conference arrival form.
🏥 5. Health and Safety
A First Aid Room will be available on the first floor of the hotel.
A Safety & Security briefing will be provided on the first day of the conference by the hotel management in coordination with the organizing committee.
🎥 6. From Each Member Organization (MO), we kindly request:
To ensure participation in the opening and closing ceremonies, each Member Organization is kindly asked to submit:
✅ Your national flag
✅ One video (maximum 1.5 minutes) highlighting your key activities, to be played during the conference.
🎥 Please submit your videos no later than 29 July 2025.
