Dear Member Organizations ,

Warm greetings and Happy Eid for all of you.

We are pleased to share with you the key documents related to the upcoming Arab Regional Conference, in preparation for your review and feedback prior to the event. Below is a list of the documents along with a brief description of each:

1-Regional Triennial Action Plan 2026–2028
A strategic document outlining the region’s priorities and goals for the next three years, based on the outcomes of consultations with our member organizations.

2- Triennial Report 2023–2025
A comprehensive overview of the events happened during the current triennium, along with an assessment of progress made toward the previous action plan.

3- Conference Programme and Agenda
Details of the conference  Planning team , Conference program , sessions, main discussion topics, and the timeline of events to ensure organized participation and effective preparation.

4- Submitted Motions
In this document we are sharing with you two Proposed Motions, proposed by the Arab Regional Committee, to be voted upon at the Regional Conference. It is still possible for Member Organisations to submit a Tabled Proposed Motion or to propose amendments to these two Proposed Motions. These should be submitted to the Procedural Team at [email protected] by 23.59pm (UTC) on Saturday 2nd August 2025.

5- Arab Region Constitution

During the conference, there will be a discussion on the most appropriate approach to update and revise the Arab Constitution in a way that aligns with the needs of the Committee and the Region.

Therefore, we propose discussing the following idea, noting that no vote will take place on this proposal during the conference. This is to allow time for further development and collaboration with the Governance Committee:

That the Arab Region Constitution be divided into three sections:
•⁠  First: History and Archive of the Arab Region – to be developed and worked on.
•⁠  Second: Arab Region Fund Guidelines  – to be developed and worked on.
•⁠  Third: Governance of the Region and the Arab Committee – this document to be removed to avoid duplication with the existing Regional Committees Terms of reference & Regional Conferences Rules of Procedures prepared by the Global Governance Team.

All related documents are shared with you for review and to support the discussion of the proposed idea during the conference proceedings.

We kindly ask you to review these documents in advance of the conference and share any comments or inquiries you may have.

6- Medals & Trophies

As in every conference, our celebration would not be complete without honoring outstanding organizations and leaders.
Attached are the criteria for medals and awards, along with the application forms.
The deadline for submitting the forms is June 26, 2025.

7-  In-person events during 2026-2028

Below is a list of the in-person events planned for the period 2026–2028. We invite Member Organizations to review the events and consider which ones they would like to host or support. Your contributions will enrich the experience for all participants and highlight the diversity and strength of our region.

Important Reminders:

Please make sure to apply for an Algerian visa (if needed) as soon as possible.

Reserve your accommodation directly with the hotels as early as possible.
